PRB: Archive does not fit on the final media

Summary
An archive was created
on a temporary location so that it could then be moved to a final media;
however the archive now contains more data than fits on that media and
can't be copied to it.
Discussion
The archive program
gives you three choices on how to create an archive: Disk drive, CD-ROM,
and Other. The choices cause the program to behave as follows:

The
archive program assumes that the destination you choose is in fact
the ultimate destination; and that you will NOT be moving that
archive to any other (potentially smaller) media. When saving files
to the disk, the program first determines how much empty space is on
the disk, then it saves any folders that are small enough to fit
onto that disk; making sure not to write a partial folder. If the
disk becomes full and there are more folders to archive, it asks you
to enter another disk and continues the process. |
| CD-ROM
|
This
choice works exactly like the Other option (described below), but
assumes a size of 650,000 KB. |
| Other |
The
archive program assumes that the destination you choose is a
temporary location; and that you will ultimately move that archive
to a final media. The program needs to know the size of that final
media so that it can break up the archive to fit onto one or more
volumes of that media as necessary. You should enter a conservative
amount for the size, since some of that my be used by the operating
system for file management. |
Solution
If, after you create
the archive, you need to move those files to a different volume, but that
volume does not have enough space to store the entire archive, you can do
one of the following:
- If you created the
archive using the Create a copy archive type, you can simply
create a new archive using the Other media type and enter the
correct final volume size.
- If you created the
archive using the Move documents or Move folders archive
type, then your Second Opinion records have already been deleted and
marked as archived. You must restore those archived documents before
re-archiving using the correct final volume size.
NOTE: 1) If
the archive is not your most recent archive, do not proceed and
contact Customer Support instead. 2) Make sure the location where you
normally store your Second Opinion documents has enough space to
received the archived files (if you have not added any new files on
that disk since the archive, it should have enough space).
- Run the Archive
program.
- Click Restore.
- Select the
archive by clicking on the box next to its description to display
the check mark.
- Click Finish.
- The records and
files will be restored to the Second Opinion database and
documents.
- When the archive
is complete, exit the program and make sure you can access the
documents from Second Opinion without requiring that archive
volume.
- Run the Archive
program again.
- Click Archive.
- Select the
desired options. When asked to choose between Disk drive, CD-ROM,
or Other, choose Other and enter a conservative
number for the amount of free space (in Kilobytes, 1 KB = 1,024
bytes) on the final destination media. For example, if your final
destination is a 3.5" floppy disk (in reality, you would
normally not use a 3.5" floppy disk, since it cannot hold
much data) with a capacity of 1,457,664 bytes, enter 1400 KB.
When the archive is
completed, you can copy the files to the final media using whatever copy
software will work for that device (CD-ROM burner, tape writer, or other).
